    Job Description

    Summary

    This position is designed to provide front line customer service support and provide administrative support such as filing, order and inventory office supplies, copying, faxing, and email correspondence and board & commissions secretary responsibilities.

    Essential Duties and Responsibilities

    Essential duties and responsibilities include the following. Other duties may be assigned.
    • Producing information by composing letters, memorandums, developing charts, graphs and diagrams and recording and transcribing meeting minutes.
    • Organizing work by reading and routing correspondence; collecting information; and distributing interoffice mail.
    • Maintaining Department Director’s calendar by scheduling appointments, coordinating meetings and reserving rooms for intra/interdepartmental meetings and trainings.
    • Oversees setup of meeting rooms for internal reservations.
    • Answers telephone, takes messages and answers inquiries within assigned scope of responsibility greeting patrons, in person or on the telephone; answering or referring inquiries.
    • Maintaining citizen and patron confidence and protecting operations by keeping information confidential.
    • Prepares and expedites purchase orders and direct payments, etc.
    • Maintaining office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
    • Keeping equipment operational by following manufacturer instructions and established procedures.
    • Providing historical reference by utilizing filing and retrieval systems.
    • Contributing to team effort by accomplishing related results as needed.
    • Review department website for accuracy and update with relevant information and flyers each month.
    • Attend to all customer comments related to Parks and Recreation posted on social media platforms.
    • Create, manage and oversee all internal social media content which includes: sharing event photos, flyer design, daily posts, and promotion of programs/events.
    • Knowledge of Facebook, Twitter, Instagram, Canva, Nextdoor and/or SocialPilot
    Supervisory Responsibilities
    This job has no supervisory responsibilities.

    Education and/or Experience

    Required: High school graduate or equivalent and five years of clerical/secretarial experience, with a minimum of two years at the level of secretary (OR) A.A. Degree in Secretarial Science and three years of clerical/secretarial experience, two years of which must have been at the level of Secretary.
