About the Position This is a temporary, full-time, grant funded position through June 30, 2025 with the possibility of reappointment. The purpose of the PrEPping the Bay Program within the Student Health and Counseling Services is to support PrEP navigation services for Cal State East Bay students with the goal of increasing PrEP and PEP initiation and retention amongst students with perceived increased risk for HIV infection. In doing so, this position will assist in the students' optimal state of overall health so they may achieve their academic and career goals. Under the general supervision of the Director of Student Health Services and the Nurse Lead or other designee, the Clinical Assistant performs a wide variety of reception, patient intake and enrollment, electronic health records maintenance and performs various duties to assist with the needs of the PrEPping the Bay program and Student Health and Counseling Services. Responsibilities Function as a Front Desk Receptionist and Determine Patient Needs: Accurately, efficiently, and tactfully communicate with students, staff, faculty and the community to provide excellent customer service. Gather and verify patient demographic and personal information. Determine eligibility for care, urgency of request/situation and take appropriate action established by policies and procedures. Work with electronic health records systems to make appointments and intake patients. Answer and screen telephone calls and emails - take messages, provide information regarding PrEPping the Bay, Student Health & Counseling Services and ancillary programs (Pioneers for Hope, Wellbeing Services, etc.). Screen and enroll patients in the PrEPping the Bay and PrEP-AP program and/or ADAP program. Perform transactions in the electronic health records system, ensure accounts balance, and submit fee information to accounting for upload onto student accounts. Refer patients to PrEP prescribers as appropriate. Follow up with PrEP clients as per protocol for tracking of maintenance of medication. Maintain the Security, Confidentiality and Accuracy of Medical Records: Prepare, maintain and retrieve patient data in medical and LEO (public health department) records. Ensure patient charts and reports are completed in an accurate and timely manner. Review completed electronic and paper charts for missing information and signatures. Purge outdated records annually. Obtain proper authorizations for release of health information for referral/follow-up of care or other purposes. Initiate medical records release process; review, log and obtain appropriate approvals (follow up on status of request). Ensure all electronic health records are protected and kept confidential. Provide Administrative Support to the Medical and Counseling Departments: Provide new student PrEP-AP orientation and process PrEP-AP application. May assist in submission of required reports to county and state as required by law, such as morbidity reports to county public health. Assist with PrEPping the Bay grant administration and act as liaison to Cal State East Bay ORSP (Office of Research and Sponsored Programs). Annual tracking (or as needed) of inventory of supplies for PrEPping the Bay program as per CDPH requirements. Tracking any behavior modification materials given to participants of the PrEPping the Bay program. May assist with follow-up of students for public health purposes, such as contact tracing for the prevention of outbreaks of infectious diseases. Assist clinicians in their administrative needs such as prescription authorizations/responses and outside referral follow-up. Process subpoenas and medical records release requests within the specified timeframe, in consultation with and the approval of the Director of SHS, who review and approve the records to be released. Serve on various committees for Student Health and Counseling services as needed. Perform Related Duties as they pertain to Patient Care, including Cross-Training and Clinic Coverage as needed: Participate in and support Student Health and Counseling Services special clinics, education and outreach activities as assigned. Act as a PrEPping the Bay program liaison to the East Bay Getting to Zero coalition. Develop relationships with local health centers providing PrEP services in the community. Assist with transfer of care for students needing PrEP services outside of SHCS (e.g. graduating, leaving CSUEB, or needing higher level of care). Maintain PrEPping the Bay social media sites. Provide assistance in the clinic such as, but not limited to, rooming patients, obtaining reason for visit, taking accurate vital signs, preparing patients for examination, and assisting practitioners as needed. Cleaning and stocking examination rooms, use of medical supplies and equipment as required. Participate in cross-training activities. Perform other duties as assigned by the Nurse Lead, Director of Student Health Services or designee. Minimum Qualifications Education and Experience: High school diploma or equivalent and familiarity with a health care setting or combination of education and experience which provides the required knowledge and abilities. Abilities: Ability to learn clinical assistance methods and techniques; understand and use basic medical assistance terminology to accurately and efficiently support practitioners and follow their instructions. Perform clinical assistance activities accurately and timely. Handle instruments and equipment properly. Read and write English at a level appropriate to the position to support maintaining accurate records and reading medical terminology. Use health center automated systems to enter and maintain data and prepare simple reports. Maintain effective working relationships with practitioners and other health center support staff; and be sensitive to and communicate effectively with diverse patients. Knowledge: General knowledge of daily clinic operations and organization ranging from patient scheduling and reception to delivery of health care services and processing of paperwork, aseptic techniques and requirements; and the uses, application, and proper operation of various medical supplies and equipment used in performing the duties described above, such as in preparing examining rooms; obtaining patient data, and assisting practitioners. Preferred Skills and Knowledge Familiarity with the LEO system and PrEP-AP program. Sensitivity and training in providing service for LGBTQIA+ persons. Ability to handle difficult situations involving patients or others in a professional manner. Current CPR/AED certification. Knowledge of or the ability to learn quickly SHCS policies, procedures and protocols ranging from patient scheduling and reception to delivery of health care services, including pharmacy and follow-up appointments. General knowledge of Electronic Health Record (EHR)/patient management systems and the ability to enter information accurately. Ability to use the EHR system to make/change appointments, enter and maintain data and prepare simple reports. Knowledge of or the ability to learn quickly confidentiality rules and regulations, such HIPAA, FERPA and confidentiality of patient health records/information laws. Understanding and use of basic medical terminology. Perform clinical assistance activities accurately and timely. About the Position The Renaissance Scholars Program (RSP) is an intentional transitional support model which integrates academic and cultural programming to support access, retention and graduation of our former foster youth-identified students at Cal State East Bay. The program welcomes and supports incoming and continuing students while increasing their confidence, engagement, academic success, persistence, and, ultimately, baccalaureate degree attainment rates. Students participate in a year-long, cohort-based, learning community paired with intrusive academic counseling and mentoring. Under the general supervision of the AVP/Deans of Students, the RSP Engagement & Admissions Specialist will provide a full range of academic support services and cultural activities to promote success for students participating in the campus RSP Program. This position is responsible for improving and delivering service to students through administration, technology and communication. The RSP & Admissions Specialist will assist with program planning, implementation, assessment and evaluation. Additionally, this position will collaborate with faculty and staff to address student and program needs and to develop strategies that support the recruitment, retention and graduation of students. The incumbent will lead the programmatic components and academic partnerships of the RSP, this includes: targeted outreach to high school and community college students, oversight of the program’s application process and admissions procedures; administering academic support services to students enrolled within the RSP; referrals to on- and off-campus support services; implementing the mentoring program, and forging strategic partnerships with internal and external stakeholders. Outreach, Admissions, and Marketing Coordination: Organize and lead the program application/admission process by working with on and off-campus equity partners to identify prospective students. Conduct intake advising and counseling for all prospective Program participants ensuring they have a smooth transition to Cal State East Bay. Handle initial questions and conduct first line screening in all cases related to matriculation (admissions, financial aid, residency, housing, etc.) Troubleshoot admissions related problems by utilizing information from University software (PeopleSoft, Bay Advisor, etc.) and connection with participants. Participate in on-campus outreach activities, such as the CSUEB Preview Day, Welcome Day, and University Orientations. Serve as primary contact to pipeline programs for prospective Program students. Coordinate and lead Program Outreach events for prospective students. Conduct Program presentations to campus visitors (applicants and general public, such as community college counselors and other support program staff), as well as on-campus offices. Ensure all publications are updated in multiple formats (print, online) and languages as needed. Under the general supervision of the Director of Student Health Services and the Nurse Lead or other designee, the Administrative Support Assistant performs administrative support duties including but not limited to personnel, payroll, accounting, and procurement processes, electronic health records maintenance, and various other duties to assist with the needs of the PrEPping the Bay program and Student Health and Counseling Services. Responsibilities Accounting and Procurement Support: Work within the University, California Department of Public Health (CDPH) (specifically PPIR grant), Office of Research and Sponsored Programs (ORSP), and Student Health & Counseling Services guidelines to facilitate placement, tracking, and payment of ordered supplies and services. Components of this function include but are not limited to: Process appropriate submission of documents for the purchase of supplies and services, using various University processes such as Purchase Order, Reprographics, Travel Reimbursements, Procurement Credit Card, etc. Work with vendors to obtain current pricing, item description, etc. Collaborate with the University’s Accounting, Procurement and Receiving Departments, and ORSP to facilitate timely and accurate processing of supplies and services. Follow up and resolve any outstanding accounting, payroll, personnel, and procurement issues. Maintain current inventory and awareness of all equipment purchased under PPIR grant. About the Position This is a full-time, temporary position through August 31, 2025 with the possibility of reappointment. Under the supervision of the Director, Diversity & Inclusion Student Affinity and Resource Centers (DISARC) and the work lead direction of the Student Leadership and Involvement Center (SLIC) Office Manager, the DISARC Office Manager provides administrative assistant support to the DISARC department. This includes but is not limited to providing front-line reception for students, staff, faculty and guests of the campus, while also providing administrative support to the DISARC staff members. This position will work closely with and assist in the lead work direction of student assistants performing administrative tasks in support of the DISARC department. Additionally, the incumbent is responsible for logistics related to scheduled events (i.e., room reservation, Baysync set-up, copying/distributing posters, marketing, room set-up, registration, and trouble-shooting) as well as ensuring department website(s) are current. Further, the incumbent will process the hiring and payment of student assistants and assist with recruiting, hiring and training of all department student staff. This position will also be responsible for serving as timekeeper for student assistant payroll, coordinating and developing student staff work schedules; making recommendations of student staff training needs and conducting in-service training; keeping track of student assistant assignments and ensuring tasks are completed in a timely manner. Other responsibilities include tracking absence reporting for all staff, running reports in the data warehouse and updating monthly and annual reports, handling payroll and human resource transactions (e.g. assist the appropriate administrator with eSAF, eSARF submissions, attendance and absence reporting, Separation Clearance Forms, etc.) for the departments, coordinating supply and technical needs and handling contracts and payment to vendors. The DISARC Office Manager also functions as backup support to the SLIC staff; coordinates schedules using an online calendaring system; processes contracts and purchase orders; takes, prepares, and distributes notes and minutes to departmental staff; and performs other duties as assigned. These duties are performed in a busy office environment with high volume of traffic and telephone calls. Punctuality and regular attendance are essential functions of this position. Responsibilities Department Administrative Support Assistance: Provides administrative support for department staff. Maintains electronic calendars, department-leave calendar, and management-staff calendars. Maintains all departmental and organizational files including various spreadsheets and Google sheets. Coordinates room reservations for staff and intra-staff meetings and food service when needed. Schedules rooms through 25Live and runs reports. Assists staff members with travel arrangements including conference registration; travel logistics and travel reimbursements. Tracks and monitors office supplies and reorders when needed. Organizes department supplies and logistical space. Arranges for meetings and conference calls. Includes sending out for agenda items, assembling agendas, and producing materials for distribution. Also, records notes for specific meetings. Handles a broad range of interpersonal contacts, including those at a higher level and sensitive in nature from on and off campus persons. Coordinates all telephone, IT and equipment needs for the department including office moves, equipment services, equipment and supply purchases, and removal of sensitive documents. Checks voicemail and answers inquiries from other departments, including the President’s and Vice President’s Offices. Assists with preparing and assembling detailed reports, other materials, and correspondence. Handles all department incoming and outgoing mail/correspondence Payroll Support: Prepares and ensures timely processing SEAFs for student assistants. Picks up department paychecks and distributes to staff on a monthly basis. Trains all new student staff members on Payroll policies and procedures including time-off requests, departmental onboarding requirements, routine meetings, etc. Approves student payroll timesheets. Works with Payroll to resolve student payroll issues or correct problems in the PS systems as they occur. Budget Related Activities: Assists SLIC Office Manager (work lead) to process and track all budget and expense transfers. Reconciles with expenditures, and provides work lead with monthly budget status reports. Processes purchase orders, service requests, travel reimbursements, and check requests for reimbursements and payment to vendors and staff. Maintains and reconciles monthly procurement credit card purchases and reports for Accounting. Coordinates the purchase of new equipment and supplies, including brochures, University folders, name badges and name plates, etc. Web and Publications: Ensures department website(s) are reviewed and updated biannually. Works with other campus departments to gather current information for any updates. Troubleshoots any issues including broken web links; works with ITS to resolve any issues. Analyzes content and structure in order to update websites and ensure that the site is user-friendly. Updates forms as needed with current branding. Other duties as assigned. Minimum Qualifications Fully functional knowledge of and skill in standard office procedures and practices. Ability to understand and operate in a variety of organizational structures. The Project Impact - Academic Success and Wellness Counselor supports students in completing their post-secondary education by providing targeted advice related to class selection, the development of educational plans and monitors the academic progress of students in the program. Furthermore, the Academic Success and Wellness Counselor provides academic wellness counseling to support students in the development of non-cognitive skills including academic & realistic self-appraisal, growth mindset, locus of control, positive self-concept, motivation and long term goal setting. Responsibilities Direct Services to Students Academic Advising: Provide academic advising to participants including support with course selection each term and the development of long-term educational plans. Provide academic advising related to withdrawals, plans for recovering from academic probation and avoiding academic disqualification. Identify students at risk for not persisting, including using CSUEB’s early alert system in Bay Adviser. Help students revise their support plans accordingly. Coordinate with other departments and agencies as needed to support students in finding and making use of additional resources. Financial Aid Advising: Support students in completing all necessary applications for Financial Aid, including the FAFSA, the Cal State East Bay financial aid verification process and scholarship applications. Support students with completing financial aid appeals as needed. Develop a strong working relationship with the Financial Aid Office personnel to maintain understanding of the financial aid process, student requirements for meeting academic progress standards, and required student-submitted financial aid documentation. Record Keeping and Reporting: The Academic Success and Wellness Counselor is expected to keep accurate and timely case notes and maintain accurate student information in program software including Blumen and Accommodate. Support with Maintenance of Program Collaborate with other campus departments including Accessibility Services, various academic departments, the General Education Office, Academic Advising and Career Education, Housing and Financial Aid to educate the campus community about Project IMPACT. With the Program Coordinator, recruit, interview and select new students to join the program each summer. Attend outreach events for student recruitment as needed. Support other program staff with the coordination of the tutoring service and provide subject-specific tutoring if needed Support the work of the Program Coordinator in meeting all programmatic objectives as outlined in the grant. Carry out the requirements of the grant and assist the Program Coordinator in monitoring compliance with state and federal regulations, maintaining accurate student records and other administrative tasks as needed. Attend TRIO training as needed to remain aware of best practices for TRIO service delivery. Other Duties as Assigned Minimum Qualifications Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related. One year in the program area to which assigned may be preferred but is not required. About the Position CSUEB maintains two (2) campuses located in Hayward and Concord. Depending on operational needs assignments may be changed to an alternate work shift, and or campus location. This position is responsible for maintaining the campus grounds in a way that provides a safe and aesthetically pleasing environment for the staff, faculty, students and the community. Responsibilities Turf Area Maintenance: Daily litter pick up Edging along sidewalks, around valve boxes, drains, and planting beds Trim mowing edges and around trees and other obstacles in lawn Hand trimming or weed whipping tall grass where inaccessible to mower Fertilizing of lawns Shrub and Flower Bed Maintenance: Daily litter pick up Weeding of flower and shrub beds Pruning shrubs and small trees Planting of annuals, perennials, and ornamental shrubs and small trees Fertilizing Hardscape (Parking Lots/Roads/Walks/Stairs/Patio) Maintenance: Daily litter pick up Sweeping & Blowing Pressure Washing concrete & hard surfaces Repairs to asphalt (potholes) and concrete grinding to repair trip hazards Vacuuming Irrigation Systems Maintenance: Power trimming grass from around sprinkler heads and valve boxes Repair / replace broken sprinkler heads or other small irrigation repairs Reporting any malfunctioning sprinkler heads to leads/irrigation technicians Placing portable sprinklers in dry spots and hand watering as instructed Other Duties as Required: Assist with In-House Landscape upgrades Reporting hazards or emergencies to manager May be called back in after hours for emergencies Nursery work - potting plants and maintaining nursery stock Athletic Fields and stadium maintenance Reporting of monthly absences TMA time card entry Training when required Landscaping- removal of old/dead plants Required Qualifications Ability to read and write appropriately for the duties of the position, follow verbal and written instructions General knowledge of methods used in gardening and grounds maintenance General knowledge of planting, gardening materials, tools, and equipment Ability to recognize common native California shrubs, trees, and flowers Ability to perform physical work in varying climatic conditions Ability to stand for long periods of time, reach above and below waist level, climb, stoop, kneel, crawl, and travel rough uneven terrain Safely lift, carry push, and pull objects weighing up to 50 pounds Demonstrated ability to communicate effectively with a diverse student, faculty, staff and community is essential Minimum Qualifications Knowledge: Thorough knowledge of general gardening and grounds maintenance methods General knowledge of proper methods of planting, cultivating, and caring for hedges, ornamental trees, shrubs, lawns, and flowers, and the use and care of gardening materials, tools, and equipment Abilities: Ability to recognize the more common species of ornamental shrubs, trees and flowers grown in California Perform strenuous physical work as described in this classification Utilize mechanical aptitude and motor coordination Learn to skillfully operate small trucks and power-driven grounds equipment Read and write at a level appropriate to the duties of the position and follow simple oral and written instructions Experience: One year of experience in the care and maintenance of landscaped areas or in general grounds maintenance work, or in related manual labor. License: Some positions may require possession of a valid California driver’s license. THE DEPARTMENT: The Department of Art offers coursework leading to a B.A. or B.F.A in Art with eleven options: Art History & Visual Studies, Design (general), Fine Art Practice, Graphic Design, Illustration, Interaction & Game Design, Photography, Studio Arts (general), 3D Art & Design, Transdisciplinary Arts, and Video & Animation. Coursework in this area focuses on the development of students’ perceptual skills, their access to the imagination, and their ability to think critically and independently. Coursework in this area focuses on the creative and technical aspects of new technology to create, control, deliver and present meaningful content in a variety of interactive forms. DUTIES OF THE POSITION: B.A./B.F.A. in Art: To teach web design, interaction design, animation, photography, ceramics, printmaking, painting/drawing, sculpture, introductory and advanced studio courses or computer arts/graphic design. B.A. in Art (Art History Concentration): To teach "Art of Asia and the Pacific World" and "Art of the Transatlantic Modern World," lower-division survey courses that develop writing, reading, and visual literacy skills in the discipline. And to teach History of Graphic Design, a lower-division survey course taught fully online each semester. M.A. in Interaction Design & Interactive Arts: To teach interactive media development using code, physical computing and 3D printing; concepts of multimedia and interaction design; coursework in application of interaction and learning theories to multimedia design and artistic practice.
