Job Description

The Accreditation Technician (SO) is responsible a variety of moderately complex tasks in the collection and maintenance of accreditation records for the Jefferson County Sheriff's Office (JCSO). Operates and maintains a variety of specialized software programs. Gathers confidential documentation from personnel in all units within the JCSO, detention facility, and court security.

  • Reviews CALEA Law Enforcement, ACA , NCCHC and PREA master files for accuracy and completeness. Determines the type and content of agency documentation to ensure accurate demonstration of compliance. I mplements collection system and analyzes documentation for completeness, accuracy, and compliance with department policy, state law and current accreditation standards.


  • Gathers documentation from all units within the JCSO , the detention facility , court facility, and various county components to ensure demonstration of compliance for CALEA Law Enforcement, ACA , NCCHC and PREA National Standards. C ollects documentation at least 2 times a year for over 1 , 000 standards including photograph y of vital observation standards , management of tracking logs, and working files . Analyzes and determines the applicability and compliance of standards and documents with department policies and accreditation standards. Informs supervisor of non-compliant documents for resolution.


  • Maintains electronic accreditation files and records within PowerDMS and other accreditation specific software program s. Creates spreadsheets and databases to manage document requests, time sensitive standards, and working file distribution schedules .


  • Locates and reviews multiple reports in Tiburon, the JCSO computer records management system . Searches various internal confidential electronic files to locate essential file documentation. Reviews and deciphers critical information for use in master accreditation files.


  • A ssists with logistics and planning for mock and on-site assessments. Prepares welcome books for auditors including on-site agendas, department rosters, and listing of observation standards.conducts JCSO and detention facility pre-audit tours to ensure agency compliance with observation standards. Prepares and refreshes room with refreshments. Assists with coordinating static displays , public hearings, and public phone -in sessions. Assists with all aspects of the audit prior to and during the auditors' visit.


  • Prepares and recommends policy additions and revisions based on changes to accreditation standards . Assists with m aintaining department back-up p olicies and procedures manuals, operations manuals, and detention post order manual s. Creates backup storage for policies and procedures as requested by department employees , c ounty personnel, or outside law enforcement agencies . Biennially, creates and distributes hard-copy and electronic back-up t o key personnel throughout the JCSO .


  • Attends unit meetings, d ivision briefings, and other internal organizational meetings. Prepar es and presents lesson plans and presentations for law enforcement academy classes. . Attends internal and external training, attends annual conferences requiring out-of-state travel, and maintains law enforcement accreditation networking relationships.


  • Responds to inquiries in person and on the phone and performs one-on-one communication and email correspondence with internal and external law enforcement contacts.
