Job Description

What You'll Be Doing

The Mail & Courier Services Specialist manages and operates the GSA Mail Center. This position oversees and directs the pick-up, receipt, sorting and delivering of interoffice mail, United States Postal Service (USPS) mail, medical records, lab samples, library books and other related mail items from commercial couriers and carriers.

Essential Job Duties:
  • Manages the mail courier and processing contract
  • Directs contract employees daily operations
  • Ensures contracted workers are performing duties, which include processing and sorting mail, accurately applying postage to all outgoing US Mail, accurately processing and tracking Certified Mail, delivering mail to all mail stops according to the approved schedule
  • Maintains continuity of service delivery
  • Ensures the process is on time, accurate and handled with a high standard of customer service excellence
  • Handles customer concerns and solves issues concerning mail services
  • Prepares reports and maintains fiscal controls and accountability for all postage funds (approximately $5400,000/year)
  • Maintains sufficient funds on mail meter and postage account
  • Ensures chargeback codes for mail courier costs are accurate and updated in a timely manner
  • Submits monthly chargebacks reports to Wake County Finance
  • Processes all invoices for payment and submits requisition requests for postage
  • Provides backup to the GSA Warehouse and Request Center.

In the event of an emergency, as determined by the County Manager or designee, participation in preparedness and response operations should be expected.

Other job responsibilities may include providing assistance in response to adverse weather events and emergency response operations; cleaning and restoring county properties after damage due to natural events, civil protests, or other unplanned events.

The Basics (Required Education and Experience)

  • High school diploma or GED
  • Three years of job-related experience
  • A valid driver's license and a "safe" driving record
  • Equivalent education and experience are accepted

Beyond the Basics (Preferred Education and Experience)

  • 4 Years Mail center, processing and contract administrator experience and familiarity with United States Postal Service Regulations
  • Forklift Operator Certification (or the ability to obtain in 1 year)

  • Knowledgeable in work place safety practices and PPE to conform with OSHA requirements
