    Position Summary

    The Administrative Support Coordinator II performs core functions of initiating, assessing, coordinating, leading, implementing, communicating, evaluating, and otherwise providing administrative support to the Department of Gerontology and the Program in Asian Studies, with the input and coordination of the Dean’s Office in the College of Social Sciences and Interdisciplinary Studies, as needed. The position supports the students, faculty, and staff members within these units and across the university and community. The incumbent exercises strong interpersonal skills that are sensitive, culturally appropriate, inclusive, effective, and confidential when necessary.

    The person in this position is responsible for developing, maintaining, and analyzing departmental fiscal records, preparing and inputting the annual schedule of classes, and assisting with hiring part-time and full-time faculty. Additionally, the person in this position is responsible for written and verbal communication with new and continuing students, guiding students though university processes; and assisting the Department Chair/Program Director with projects including student support. Incumbents are expected to use general office equipment and a full range of office support technology and systems including word processing and spreadsheet packages, online software platforms to enter data and generate reports, email, and voice mail. In addition to supporting these units, this position collaborates with and supports the SSIS Dean’s Office when needed, including assisting with all facets of unit projects, convenings, meetings, and events with university stakeholders and community partners. This person uses judgement and discretion to independently gather, analyze, interpret, problem-solve, and apply information and data, utilizing detailed knowledge of University and Department/Program policies and procedures.

    FLSA: Non-Exempt (Eligible for overtime compensation)

    Anticipated Hiring Range: $4058 per month - $4261 per month. Anticipated hiring range is typically near the min. of the classification range, although commensurate with candidates' education, experience, skills, and training.

    Department Information

    The Department of Gerontology Program takes an interdisciplinary approach to study the aging process and the challenges faced by older adults and their families in modern society. It also expands on the aspects of optimal aging and the benefit older adults bring to society. Our graduates work in a variety of fields including state, federal and local government agencies, local non-profit organizations, long-term care communities and as policy advocates.

    The Asian Studies Program is designed to provide students with a coherent introduction to the language, history, and culture of East, Southeast, and South Asia and to develop an interdisciplinary understanding of the major social and political forces at work in the region, supported by appropriate language training. Graduates of the program utilize their knowledge and training to continue their studies at graduate institutions or through employment in government, business, or education.

    Minimum Qualifications

    Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

    These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

    Required Qualifications

    Experience coordinating and/or performing entire clerical and administrative support functions in a complex administrative environment Experience setting priorities, meeting deadlines, multi-tasking, and evaluating and making recommendations pertaining to operational and procedural matters Basic knowledge of and ability to follow standard office procedures (e.g. filing, maintaining of records, answering phone and transferring of voicemail messages) Expertise with office software packages (e.g., Microsoft Office) and office equipment and the Internet Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large-scale, complex projects that may involve coordination with the College and/or other departments Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed. Assumes accountability for student assistance and/or other assigned staff pertaining to workflow and work completion Ability to work with frequent interruptions Ability to work creatively and independently under general direction related to departmental goals Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations when precedents do not exist Ability to prepare correspondence and utilize spreadsheets and databases Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling. Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations Knowledge and understanding of protecting and securing sensitive and confidential data and other forms of information Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds Experience with promoting diversity, equity, and inclusion Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community Knowledge of budget policies and procedures, scholarships, and financial record tracking Demonstrated ability to assist with meetings and events coordination Ability to apply judgment, discretion, and initiative; make appropriate recommendations; and maintain the confidentiality of sensitive materials Ability to maintain and store data, records, and other information securely according to university policy Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

    27. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures

    28. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions in other areas

    29. Proficiency with Common Management System (CMS) and other software platforms, such as Human Resources / Student Administration (HR/SA), Cognos, Cascade, Concur, Saclink, Financial Data Warehouse, Blackbaud, OnBase, Handshake, CSUBuy, Qualtrics, Astra, CHRS, CFS

    30. Experience with preparation of the course schedule, including scheduling classes and reserving rooms

    31. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference
