    Court Clerk - Data Management

    PURPOSE OF JOB:
    The purpose of this position is to accurately enter data for the Municipal Court of Atlanta. The Municipal Court handles hundreds of thousands of cases each year. These cases are entered directly into the Court’s case management system. Incumbents in this position are responsible for entering case information located on the citation or ticket into the case management system. The individual will work as part of a team which interacts with various other court departments and judges. Duties include but are not limited to: efficiently and accurately entering case information into the database; ability to type proficiently with little to no errors; transfer data from a physical format to an electronic format and vice versa; sort and organize paperwork; prepare documents for service and/ or mailing; conduct research and retrieve files and other legal documents; and identifying and executing opportunities to improve the data entry process.

    ESSENTIAL DUTIES AND RESPONSIBILITIES
    The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Incumbent may perform other duties not articulated in this job description as determined by the court administrator, deputy court administrator and/or court operations manager.

    • Entering case information and updating the case management system as necessary;

    • Transfer data from paper formats into computer files or database systems and vice versa using keyboards, data recorders or optical scanners;

    • Typing in data provided directly from managers and/ or customers;

    • Verify data by comparing it to source documents and update existing data;

    • Retrieve data from the database or electronic files as requested;

    • Perform regular backups to ensure data preservation;

    • Sort and organize paperwork after entering data to ensure it is not lost;

    • Maintaining information files and processing paperwork as necessary;

    • Reviewing physical/ digital paperwork for accuracy and completeness;

    • Prepare documents for service, mailing directly to individuals where appropriate;

    • Corresponding with the general public and governmental agencies via phone, fax, e-mail as needed;

    • Reviewing and distributing mailings related to court cases as well as general mail for the court;

    • Answering inquiries from the general public and governmental agencies regarding court procedures, court appearances and case resolution;

    • Resolving general and complex customer service issues requiring research using various records and resources;

    • Acting as liaison on behalf of visitors with other governmental entities as needed;

    KNOWLEDGE, SKILLS & ABILITIES:
    Knowledge of courts and the basic operation of the criminal justice system. Has general knowledge of the procedures and clerical duties as they pertain to the operation of a court. Able to compile, organize, prepare and maintain an assortment of records, reports and information in an effective manner and according to court operations and regulations. Has good knowledge of the terminology used within the court system. Comprehends and applies regulations and procedures of the department. Proven experience as a data entry clerk and fast typing skills. Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.). Working knowledge of office equipment and computer hardware and peripheral devices. Basic understanding of databases. Utilizes and understands computer applications and techniques as necessary in the completion of daily assignments.

    Great attention to detail. Capable of handling and successfully completing multiple, sometimes conflicting, tasks. Solution-focused and demonstrates the ability to identify and solve standard problems and refer more complex issues to appropriate staff and managers. Researches and problem-solves using basic internal and external network resources (documentation and internet). Uses independent judgment in routine and non-routine situations. Has the mathematical ability to handle required calculations. Ability to plan, organize and prioritize daily assignments and work activities. Works under a minimum degree of stress related to duties that require constant attention to detail and tight deadlines. Has sufficient mobility in order to stand and/or navigate around a building for up to 8 hours per day.

    Communicates in a confident and energetic manner. Able to communicate effectively with judges, supervisors, staff, the general public and other groups involved in activities associated with court operations and law enforcement. Good command of English both oral and written and customer service skills, including phone etiquette skills. Works with all types of personalities demonstrating a calm, patient and hospitable demeanor on a daily basis. Displays an approachable disposition. Ability to establish and maintain constructive working relationships with coworkers as well as representatives of other departments and agencies.

    Minimum Qualifications - Education and Experience

    High school diploma or GED required.

    One or more years of data entry experience, preferably in a high-volume industry or a court environment; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

    (ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
    Physical Requirements: Must be physically able to operate a variety of job-related machines and/or office equipment. Must be able to move or carry job related objects or materials. Physical demand requirements are at levels of those for a moderately active office environment work. Must be able to sit at a desk as needed for extended periods without a break.
    Data Conception: Requires the ability to compare and/or judge the readily observable functional, technical, structural, compositional or identifiable characteristics (whether similar to or divert from obvious standards) of data, people, or things.
    Interpersonal Communication: Requires the ability to communicate with people to convey or exchange professional information.

    Language ability: Requires the ability to read a variety of professional, technical and administrative documentation, directions, instructions, methods and procedures. Requires the ability to produce reports with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to communicate with and before others using correct English.

    Intelligence: Requires the ability to learn and understand subject matter principles and techniques; to make independent judgments in absence of supervision within the scope of respective job duties and tasks; to acquire and be able to expound on knowledge of topics related to primary occupation.

    Numerical Aptitude: Require the ability to utilize mathematical formulas; add and subtract; multiply and divide totals; determine percentages; determine time and weight; and interpret same as may by appropriate.

    Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape.

    Licensures and Certifications

    May be required to obtain Georgia Criminal Investigation Center (GCIC) certification for some dispositions
