    ABOUT THE DEPARTMENT:
    Deschutes County Health Services supports over 400 staff in Behavioral and Public Health programs working to promote and protect the health and safety of the community in a broad variety of community-based settings.

    Deschutes County Behavioral Health (DCBH) is the Community Mental Health Program providing safety net and core clinical services for community members in Deschutes County dealing with mental health and substance use conditions. DCBH is also a Certified Community Behavioral Health Clinic (CCBHC). As such, DCBH relies on multi-disciplinary teams to provide innovative, evidence-based, recovery-oriented services in behavioral healthcare settings co-located with physical health providers.

    ABOUT THE JOB:
    Deschutes County is accepting applications for an Administrative Support Technician. This position provides administrative support for the Intellectual and Developmental Disabilities program. The incumbent is responsible for performing a variety of administrative tasks that require intermediate computer skills and excellent interpersonal skills. Duties include managing an Electronic Health Record (EHR) system to enter, validate, and record client information per OAR (Oregon Administrative Rules). The incumbent will receive training on existing systems and will be expected to routinely complete knowledge checks and adjust to changes in order to ensure policies and procedures are accurately applied. This position will work in a fast-paced, multitasking environment with multiple deadlines, and will act in an administrative supporting role to Service Coordinators (Case managers).

    Key Responsibilities:
    • Prepare routine correspondence, forms, and standard documents; respond to requests for records, information and developing reports.
    • R eceive, review, and processes reports, records, and other documents for completeness, accuracy, and compliance with local and state procedures.
    • Initiate and produce correspondence and documents in standardized formats using Word and Adobe.
    • Proficiently work with technology in a paperless office setting or from a remote location.
    • Prepare detailed reports.
    What You Will Bring:
    Knowledge of or experience with:
    • General office procedures and processes.
    • Modern office equipment and software including video conferencing, processing, spreadsheets, electronic databases, and electronic signature software.
    • English language usage, grammar, spelling and punctuation.
    • HIPAA requirements related to client health records.
    Skill in:
    • Maintaining confidentiality.
    • Initiative and independent judgment in performing administrative and technical duties, resolving problems, analyzing data, and making decisions,
    • Be flexible in working at different locations and taking on necessary tasks as needed.
    • Prioritizing, organizing and carrying out assignments and special projects in a timely and professional fashion with minimal supervision.
    • Ability to participate in trainings for extended periods of time, retain information and demonstrate an ability to accurately implement policies and procedures with limited supervision.
    • Working independently as well as c ollaborating with colleagues in both small and large team settings.
    • Establishing and maintaining effective working relationships with the public, Administration, and other employees at all times.
    • Communicating effectively both verbally and in writing, in person, via video conference and by phone.

    Compensation

    $3,960.86 to $5,307.96 per month for a 172.67 hour work month. Excellent benefit package when eligible. This union-represented position is available immediately.

    Minimum Qualifications

    • High school diploma or GED equivalent;
    • AND two (2) years of administrative support experience;
    • OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
    Preference will be given for:
    • Senior level administrative experience.
    • Knowledge of Microsoft Office products including Word and Excel.
    • Knowledge of software, such as: Adobe Pro, E-signatures, Smartsheets and Laserfiche.
    • Knowledge of and comfort with paperless processing techniques.
    • Experience working in EHR (Electronic Healthcare Records).
    • Prior experience acting in a supportive/assistive administrative role.


    Necessary Special Requirements

    Driving is a requirement for this position. Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.

    Must have dependable transportation and be able and willing to drive throughout Deschutes County in sometimes adverse weather conditions.

    Physical Requirements. Must have the ability to work in an office that is environmentally controlled; possess sufficient hand coordination to perform keyboarding and data entry; arm/hand movements to retrieve work materials and operate a variety of general office equipment. The position is frequently required to sit, walk, stoop, bend, kneel, reach, stand, grasp, talk, hear, see, and lift up to 10 pounds.
