    Distinguishing Features of the Class

    Performs a variety of technical work in receiving service requests for City vehicles and equipment in person and by phone and radio transmissions. Enters work requests into a fleet work management system and makes repair assignments as directed by supervisors. Schedules and coordinates outside repairs to City vehicles and equipment including obtaining auto body repair estimates. Maintains a work order log of job status and performs clerical, general office duties, and information dissemination services for employees and visitors; performs related work as required.

    The principal function of an employee in this class is to receive and process incoming service requests and provide Fleet staff and other departments with information regarding equipment status. Serves as a central communication point within the Fleet Services division. Position provides service to customers in person, via the telephone or any other electronic means, as well as providing clerical and administrative support functions to office personnel. The work is performed under the direct supervision of the Fleet Services Operations Manager and in response to shift supervisor needs but considerable leeway is granted for the exercise of independent judgement and initiative. The nature of the work performed requires that an employee in this class establish and maintain effective working relationships with all Fleet Services vendors, contractors, and all City employees in all City departments. The principal duties of this class are performed in a general office and maintenance shop environment.

    The assigned work hours for this position are 12:00pm to 8:30pm, Monday through Friday.

    Acceptable Experience and Training

    • Graduation from high school or possession of a GED; and
    • Three (3) years of experience working with customers in a shop environment; and
    • Some experience in fleet maintenance services and repair operations; or
    • Any equivalent combination of experience and training which provides the knowledge, skills and abilities necessary to perform the work.


    Required Special Qualifications

    • Candidates for positions in this class must pass a post-employment offer physical examination and drug screen.
    • Possession of a valid Class B CDL allowing the operation of airbrakes upon appointment or the ability to obtain within 6 months.


    Examples of Essential Work (Illustrative Only)

    • Receives and dispatches radio transmissions;
    • Responds to incoming service calls via two-way radio, telephone and in-person by documenting needed repairs and appropriately entering into existing Fleet Management work order system;
    • Provides central point of contact for initiation of service work orders;
    • Maintains logs and records of calls received and the nature of each dispatch;
    • Utilizes personal computer and applicable software to track service calls, maintenance schedules and other pertinent equipment and vehicle fleet management information;
    • Monitors and reports operating conditions of City vehicles and equipment via various telematics systems to determine maintenance and repair needs;
    • Maintains vehicle and equipment fueling key technology;
    • Screens visitors, telephone calls, faxes, mail and messages directed to office personnel;
    • Responds to citizens’ questions and comments in a courteous and timely manner;
    • Processes applications, licenses or related documents as necessary;
    • Dispatches information to key Departmental personnel as necessary;
    • Answers department telephone calls, receives and greets visitors to the department and provides information to callers and visitors or refers callers and visitors to other appropriate departments or City personnel;
    • Gathers, assembles, updates, distributes and/or files a variety of information, forms, records and data as requested;
    • Delivers and picks up vehicles and equipment from outside vendors;
    • Makes minor repairs and adjustments to vehicles and equipment to maintain availability to users;
    • Assists with preparing fleet pool vehicles and equipment for use by departments;
    • Copies, packages and distributes a variety of materials as requested by office personnel;
    • Provides needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions;
    • Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems;
    • Attends meetings, conferences, workshops and training sessions and reviews publications and audio-visual materials to become and remain current on the principles, practices and new developments in assigned work areas;
    • Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;
    • Performs other duties consistent with the role and function of the classification.
