  • Job Description

    Provides journey-level administrative, technical, analytical, and/or budgetary support. Provides hands-on support to the Office of the CEO, and directly to the CEO. Support includes but is not limited to attending and providing support at meetings/events with the CEO, coordinating transportation for the CEO, providing driving for the CEO, and scheduling maintenance for non-revenue vehicles. Support also includes but is not limited to assisting with preparation of talking points and briefing papers for the Executive Writer, handling social media platforms for the CEO , and supporting content development for presentations for the CEO .

    Examples of Duties

    • Provides administrative support for a department or division in one or more of the following areas as assigned, which may include budget preparation and administration, contract monitoring, and personnel administration
    • Conducts research and prepares reports requiring compilation and analysis of data
    • Conducts forecasting analyses and studies
    • Develops program management, data tracking, and other software applications on personal computers
    • Develops and implements records maintenance and analysis systems
    • Monitors projects and programs
    • Confers with internal and external stakeholders regarding various matters as assigned
    • Represents the department at meetings, committees, and conferences
    • Performs and formulates financial, administrative, policy, and organizational analyses and recommendations
    • Advises management and staff regarding performance and funding matters
    • Monitors assigned departmental operating and capital budgets
    • Prepares recommendations for proposed expenditures of capital funds
    • Researches and recommends appropriate action regarding performance and budget variances
    • Reviews grant requests
    • Monitors grant expenditures
    • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

    Minimum Qualifications

    A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

    Education
    • Bachelor's Degree in Business, Public Administration, or a related field


    Experience
    • One year of relevant experience performing basic or entry-level budgeting and/or administrative work


    Certifications/Licenses/Special Requirements
    • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
    Preferred Qualifications

    Preferred Qualifications (PQs) are used to identify relevant knowledge, skills, and abilities (KSAs) as determined by business necessity. These criteria are considered preferred qualifications and are not intended to serve as minimum requirements for the position. PQs will help support selection decisions throughout the recruitment. In addition, applicants who possess these PQs will not automatically be selected.

    The following are the preferred qualifications:


    • Experience providing administrative support for an executive, including coordinating, planning, and providing transportation to and from events
    • Experience coordinating, creating, and publishing content on social media platforms
    • Experience preparing briefing papers and talking points
    • Experience coordinating and monitoring maintenance schedules, such as vehicle maintenance


    Essential Knowledge

    Knowledge of (defined as a learned body of information that is required for and applied in the performance of job tasks)
    • Theories, principles, and practices of budget, accounting, financial, and administrative and technical analysis
    • Research and report preparation methods
    • Mathematics and business statistics
    • Applicable business software applications


    Skill in (defined as the proficient manual, verbal, or mental utilization of data, people, or things)
    • Performing statistical and financial analyses
    • Analyzing situations, identifying problems, and developing and recommending solutions
    • Exercising sound judgment and critical thinking in making decisions
    • Communicating effectively orally and in writing
    • Preparing comprehensive reports and correspondence
    • Interacting professionally with various levels of Metro employees and outside representatives

    • Research, compile, and analyze data
    • Handle highly confidential information
    • Meet tight time constraints and deadlines

    • Follow oral and written instructions
