GENERAL PURPOSE: Under close supervision, performs a variety of clerical and administrative activities to support the functions of the Development Services Department; duties may vary according to work assignment.
Primary Duties and ResponsibilitiesThe following duties

- Maintains calendars, schedules meetings and appointments; prioritizes and resolves meeting schedules; coordinates meeting resources and travel.
- Prepares meeting agendas and presentation materials; takes and transcribes meeting minutes, and prepares summaries for distribution.
- Conducts and coordinates assigned projects.
- Prepares correspondence and other documents on a wide variety of subjects requiring knowledge of the procedures and policies of the department; edits and processes memoranda, technical documents and other communications.
- Maintains department files; compiles statistical data; prepares a variety of technical and statistical reports; updates manual and computer records and tracking systems; compiles management reports.
- Print and mount maps and other large scale documents for display or presentation.
- Resolves routine problems and customer service inquiries within scope of authority.
- Provides customer service and front counter support as needed.
- Answers department telephones; greets customers and visitors; provides customer assistance; retrieves requested documents; refers callers or visitors to other staff members as appropriate; and takes messages.
- Performs other duties as assigned or required.
Minimum Qualifications & Position RequirementsEducation and Experience:High School diploma or GED equivalent, three (3) year’s administrative support experience OR an equivalent combination of education and experience.
Necessary Knowledge, Skills and Abilities:Knowledge of:- Customer service principles.
- Modern office procedures, methods, and equipment.
- Filing and recordkeeping principles and practices.
- City policies and procedures.
Ability to:- Manage complex calendars for one or more executive level staff.
Skill in:- Microsoft Office Professional
- Establishing and maintaining cooperative working relationships with citizen groups, other government agencies and City staff.
- Assessing and prioritizing multiple tasks, projects and demands.
- Operating a personal computer utilizing a variety of business software.
- Preparing accurate reports, documents and correspondence.
- Effective oral and written communication.
12 Month Goals:- Effectively routes calls to the appropriate division representative.
- Issues permits timely.
- Effectively navigates EnerGov permit software.
