  • Job Description

    Summary

    Provides administrative support to the Human Resources Department on various activities. This position is designed to provide front line customer service support to employees and the general public. This position requires the ability to work in a fast-paced environment.

    Essential Duties and Responsibilities

    • Primary support for answering the City of Lancaster’s main phone lines, solid waste call management, Web QA, faxing, copying, filing and sorting mail, as well as other administrative tasks as assigned.
    • Assist employees and the general public by responding to requests for information and requests for action in a timely and customer-oriented manner.
    • Prepares documents and mailings
    • Assist with ensuring that mandatory training in Knowbe4 is completed.
    • Reviews personnel records to ensure completeness, accuracy and timeliness.
    • Provide support for organizing city employee events.
    • Prepares computer input forms and enters data into computer files.
    • Enters a variety of data into HRIS with thoroughness and accuracy to include employee data changes, training, reviews, milestones and various other Human Resources related data.
    • Provide administrative support to Human Resources staff by composing memos and other correspondence. Manage calendars, appointments and coordinate meetings or events as needed.
    • Creates ID badges for all city employees.
    • Removes and adds employees in security software.
    • Assist with documents and application processing for Police and Fire entrance and promotional examinations.
    • Assist with the recruitment process i.e. scheduling interviews, conducting/creating reference letters, creating thank you letters and preparing the recruiter for interviews i.e. printing the application and interview forms.
    • Prepares and maintains departmental office supplies and ordering.
    • Responsible for processing and uploading purchasing card receipts for the department as well as representing the department as the purchaser i.e. attending purchasing meetings etc.
    • Prepares, maintains all pre-employment folders and paperwork.
    • Assist with filing and all records retention of files for the Human Resources Department.
    • Assists in the recruitment process by utilizing the NeoGov system.
    • Assists the Human Resources Department in the overall maintenance of a web page for internal and external customers.
    • Assist the Assistant Director of HR with recruitment cycle and the employment process. Responsible for our social media presence and resources by attending social media meetings, and creating flyers/posting jobs on all social media platforms. Participation in community job fairs, recruitment efforts and providing resources for the organization to utilize to reach applicants.
    • Responsible for maintaining job descriptions and making sure they are up-to-date by communicating with department managers/supervisors.
    • Other duties as assigned
    Training/Performance
    • Tracking completed training requirements for statutory and personnel compliance courses.
    • Maintaining performance review database to ensure timely notices and receipt of reviews.
    • Other duties as assigned.
    Supervisory Responsibilities
    This job has no supervisory responsibilities.

    Education and/or Experience

    High School diploma or general education degree (G.E.D.); and at least two-years related experience as an administrative assistant with HR duties and/or equivalent combination of education and experience.

    Computer Skills
    To perform this job successfully, an individual should have knowledge of Excel Spreadsheet software and Microsoft Word and Adobe Acrobat Word Processing software. Knowledge of ADP and ‘NEOGOV’, Knowbe4 and Canva preferred.
