    Working Title: Graduate Coordinator for Departmental Group

    Classification Title: Admin Support Coordinator I (ASC I)

    Position Details

    Emergency Hire - Temporary position lasting at most 90 days with an option of being extended to 180 days.

    Position Summary

    The incumbent in this position will serve as the primary point of reception for the Department of Biological Sciences office, serving the needs of students in Biological Sciences, and back-up services for the Departments of Chemistry and Geography. Duties will include answering phone calls, email inquiries to the Departmental email accounts, assisting chairs with development of materials for new student orientation and general office duties as needed. They will also be responsible for helping to maintain records for graduate programs for Biological Sciences and Chemistry, including maintaining records for supervisory units for faculty and correspondence to graduate students and prospective students. This position will also serve as the primary person to route key issue requests for signatures for the Departments of Biological Sciences, Chemistry and Geography, work with UTAPS on parking permit requests for the Departmental group, and work with IRT for service to photocopiers within the Departmental group.

    FLSA: Non-exempt

    CSU Classification Salary Range: $ 3,222.00 - $ 5,060.00 per month

    Hiring Range/Rate: $3222.00

    Salary Grade/Range: 1

    Time Base: Hourly-Intermittent

    Work Hours: Monday - Friday; Summer: 7:30am - 4pm, Fall: 8am - 5pm

    Department Information

    The Department of Biological Sciences at California State University, Sacramento is one of the largest programs on campus, with approximately 1,600 undergraduate and 60 Master’s students, 30 permanent faculty, approximately 45 temporary faculty, and 12 technical and administrative support team members. Most of the Department is found in the new Tschannen Science Complex, and courses cover the range of biology, including evolution, microbiology, molecular biology, cellular biology, genetics, anatomy, physiology, ecology, and conservation biology.

    Minimum Qualifications

    Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

    These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

    Required Qualifications

    Experience coordinating and/or performing entire clerical and administrative support functions in a complex administrative environment Experience setting priorities, meeting deadlines, multi-tasking, and evaluating and making recommendations pertaining to operational and procedural matters Basic knowledge of and ability to follow standard office procedures (e.g. filing, maintaining of records, answering phone and transferring of voicemail messages) Expertise with office software packages (e.g., Microsoft Office, Adobe Acrobat) and office equipment and the Internet Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed. Ability to work with frequent interruptions Ability to work creatively and independently under general direction related to departmental goals Ability to prepare correspondence and utilize spreadsheets and databases Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling. Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds Experience with promoting diversity, equity, and inclusion Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community Demonstrated ability to assist with meetings and events coordination Ability to maintain and store data, records, and other information securely according to university policy

    Preferred Qualifications

    Proficiency with Common Management System (CMS) and other software platforms, such as Cognos, Saclink, OnBase, Handshake, CSUBuy, Qualtrics, Astra, CHRS.
    Experience with preparation of the course schedule, including scheduling classes and reserving rooms
