Definition and Class Characteristics INTERVIEWS WILL BE HELD ON SEPTEMBER 18 & 19, 2025 Do you love animals and want to make a difference? Nevada County is seeking a Senior Office Assistant to support the Nevada County Animal Shelter! This position will maintain records, do reporting, supply ordering, front desk coordination, intake, working with volunteers, and adoptions and foster care finalization. Candidates should have experience working with animals in a shelter, veterinary office, or similar experience.
Duties include:
- Receives and screens visitors and telephone calls, providing information and resolving complaints which may require the use of judgment and interpretation of policies, procedures, regulations, systems and precedents relating to responsibilities assigned
- Types complex and confidential correspondence, reports, forms and specialized documents, proofreads and checks typed and other materials for accuracy, completeness, and compliance with departmental policies and regulations; composes routine and complex correspondence
- Processes forms or applications following policies and procedures requiring comprehensive knowledge of the shelters functions
- Researches and assembles moderately complex information from a variety of sources for the preparation of reports and forms; enters and retrieves data from an online computer system, including generating, reviewing and correcting reports from established menus and advising others on system processes
- May organize, coordinate, direct and review the work of an associated office support staff; may instruct staff in work procedures, assist in selecting, prioritizing, and evaluating the work of assigned staff, and monitor task completion to ensure timely coordination and completion of assigned work
- Establishes, organizes and maintains various departmental administrative, reference, and follow-up files; purges files as needed
- Makes arithmetical or routine statistical computations; collects fees, and issues receipts
- Performs general clerical activities such as sorting and routing mail, ordering and maintaining office supplies, filing, arranging for the repair of equipment, transmitting information, and keeping reference materials up-to-date
- May process payroll, accounts payable, reimbursement requests and other financial duties as required
