    The Parks and Recreation Department is seeking a dedicated Business Support Coordinator to provide vital administrative, financial, and technical support across our diverse facilities.     Minimum Qualifications
    Required:
    • Bachelors degree in Finance, Accounting, Business Administration or a related field
    • 2 years of experience in government business operations
      • Or an equivalent combination of education and experience
    • Valid Texas driver's license
    Preferred:
    • Accounting and budgeting experience


    Position Description
    Under basic supervision, provides software support within the department and assists with a variety of administrative, technical, and analytical tasks. Ensures accuracy and consistency of departmental records and systems for the Parks and Recreation Department and supports reporting requirements to meet state and federal guidelines.

    Position Responsibilities
    • Performs a variety of administrative and technical support tasks, including reviewing and verifying documents, ensuring accuracy and compliance with established procedures, and maintaining records. Responsibilities are carried out within the scope of assigned authority and training, and duties may vary based on specific job assignments.
    • Develops and implements procedures to ensure proper tracking and compliance with cash handling policies across the golf course, three community centers, Athletics, Waco Mammoth National Monument, and the Administration Office.
    • Provides guidance, assistance, and training to Parks and Recreation staff on purchasing procedures and department policies; reviews transactions for accuracy and completeness and makes corrections within assigned authority.
    • Reviews departmental transactions and related documentation, ensuring accuracy and compliance with established procedures for purchasing, payments, and revenue processing.
    • Provides assistance with department software questions and ensures the smooth operation of the online rental and activity portal.
    • Assists in preparing and managing the department’s annual budget by organizing and reviewing financial data, tracking expenses, and drafting budget adjustments to support effective planning and resource allocation.
    • Reviews and verifies departmental transactions and records, ensuring accuracy, resolving discrepancies, and maintaining compliance with City policies.
    • Reviews departmental documents to ensure accuracy, completeness, and compliance with applicable federal, state, and City guidelines.
    • Assists Parks and Recreation staff by explaining department policies and procedures, researching issues, and helping resolve problems within the scope of authority.
    • Updates and maintains departmental systems and creates specialized spreadsheets as needed to support reporting and tracking.
    • Gathers and reviews departmental information and compiles data to support reporting and decision-making.
    • Updates and maintains departmental reports and supporting documents to ensure accuracy and accessibility.
    • Researches departmental issues, reviews records and documents for accuracy, and ensures compliance with established policies and procedures.
    • Assists with preparing departmental reports and supporting documents to ensure accuracy and completeness.
    • Prepares status reports and communicates relevant updates to ensure staff and leadership are informed.
    • May be required to respond after hours, including evenings, weekends, and holidays, in the event of departmental or City-wide emergencies.

    Governance and Organization

    Waco is a home rule city with a council-manager form of government. The City Council is comprised of a Mayor, elected at-large, and five City Council members representing single-member districts, all serving two-year terms. The City Council sets the tax rate, approves the budget, appoints members to City boards and commissions, enacts City ordinances, and appoints the City Manager, City Attorney, City Secretary, and the Municipal Court Judge.

    The City has a strong Financial Management Policy that guides the operation and delivery of quality City services, contributes to excellent AA+ and Aa1 bond ratings, and maintains an unassigned fund balance reserve in the General Fund equal to 28% of current year budgeted expenditures. The City of Waco has more than 1,600 employees and a total operating budget of over $400 million.

    The City provides a full range of municipal services including a regional airport, animal services, building inspections, code enforcement, convention and visitors bureau, emergency management, housing and community development, economic development, fire, public health, library, municipal court, parks and recreation, planning, police, public works, Texas Ranger Hall of Fame Museum, utilities and zoo operations.
