    Summary

    The Purchasing Intern will gain hands-on experience in municipal procurement and public finance by assisting the Purchasing Division with day-to-day operations. This internship offers the opportunity to work on meaningful projects, from vendor registration and outreach to data analysis, policy review, and process improvement. The position provides valuable exposure to government purchasing procedures, compliance requirements, and customer service in a fast-paced environment.

    Essential Duties and Responsibilities

    Duties may include, but are not limited to:
    • Assist with bid processes, requests for quotes (RFQs), and vendor registration efforts.
    • Perform data entry, filing, scanning, and record retention functions, including oversight of Certificates of Insurance.
    • Contact potential vendors to increase registration and ensure information accuracy.
    • Review requisitions for completeness and compliance under the supervision of the Purchasing Agent.
    • Assist with purchasing card administration, vendor database maintenance, and contract file management.
    • Conduct research and compile information for purchasing staff.
    • Participate in departmental meetings and provide recommendations for process improvements.
    • Support compliance efforts with federal, state, and local purchasing laws.
    • Other duties as assigned.

    Qualifications

    • Must be currently enrolled in an undergraduate or graduate program (Business Administration, Finance, Public Administration, Supply Chain Management, or related field preferred).


    • Cumulative GPA of 3.0 or higher preferred.


    • Strong computer skills, including Microsoft Office (Excel, Word, Outlook).


    • Ability to research, analyze, and present findings.


    • Strong written and verbal communication skills.


    • Ability to develop and maintain effective working relationships with staff, vendors, and the public.


    • Must be legally authorized to work in the United States.


    • A valid Texas driver’s license may be required.


    Work Schedule
    • Limited, temporary internship (average 20-40 hours per week) up to a one year maximum assignment as an intern.
    • Flexible schedule Monday-Friday, 8:00 a.m.-5:00 p.m., to accommodate academic commitments.
    • Internship period not to exceed one (1) year, with potential for renewal.


    Education and/or Experience

    • Must be currently enrolled in an undergraduate or graduate program at an accredited college or university.


    • Preferred fields of study include Business Administration, Finance, Public Administration, Supply Chain Management, or related discipline.


    • A cumulative GPA of 3.0 or higher is preferred.


    • Experience in customer service, vendor coordination, office administration, or procurement-related tasks is a plus, but not required.


    • Strong computer skills, particularly with Microsoft Office (Excel, Word, Outlook), are preferred.
