ESSENTIAL FUNCTIONS Under general supervision, provides financial, administrative, and clerical support to an assigned department or division.

TASKS - Completes payments and controls expenses by receiving payments, processing, verifying, and reconciling invoices;
- Prepares billing memorandums for internal and external law enforcement agencies;
- Maintains records and files associated with various business transactions according to the area of assignment;
- Matches requisitions with purchase orders and prepares for data input;
- Updates and adjusts information on billing lists, verifies account balances, replicates invoices and claim forms;
- Researches invoices and financial documents to resolve questions or complaints;
- Provides training and instructions for department or division staff;
- May assist auditors by compiling historical journal entries, backup documentation, and related items.
QUALIFICATIONS Must possess a high school diploma or GED
AND three years of accounting, payroll, or bookkeeping experience in a municipality .
KNOWLEDGE, SKILLS, AND OTHER CHARACTERISTICS - Knowledge of a complete cycle of accounts payable process, such as invoice data capture, coding invoices with correct account data, approving invoices, matching invoices to purchase orders, and posting for payments ; record-keeping best practices and time management techniques;
- Skilled in performing basic and complex mathematical calculations. Record management, providing and following oral and written instructions, establishing and maintaining productive working relationships, and organizing documentation in alpha and numeric order, verifying data for accuracy to ensure compliance with city policy and procedures;
- Ability to accurately enter data and other information on time, work independently and prioritize tasks , effectively communicate verbally and in writing, demonstrate strong organizational skills, problem solve day-to-day issues within the span of authority, and communicate clearly and concisely to all levels of staff;
- Proficient in using work-related computer applications, including e-mail, word processing, spreadsheets, databases, the internet, and other electronic devices to perform essential job duties.
THE EXAMINATION PROCESS begins with a complete review of all applications and resumes submitted for consideration. Only applicants determined to be "
most qualified," as reflected by their application materials, will be invited to participate in the examination for this recruitment. The examination process may consist of one or more of the following test parts: (1) Writing Exercise, (2) Academic Training & Experience Evaluation, or (3) Qualifications Appraisal Interview. Candidates must pass each test part with a 70% score or higher to have their name placed on the active eligibility list for this position.
The top three ranking individuals shall be invited to a Background Investigation Interview, a comprehensive police investigation that may include a credit review, polygraph, character reference check, and a psychological and physical medical examination .
A selection will be made from candidates in the top three rankings of the eligibility list who pass the Police Background process and are ready, willing, and able to accept the position. Eligible candidates who are not selected will have their names returned to the eligibility list for future consideration with other departments within the City when feasible.
