    POSITION OVERVIEW

    Division/ Section: Hobby Airport ( Air Operations Area)
    Workdays & Hours: Monday - Friday 8:00 am - 5:00 pm*, Occasional Weekend/Holidays (*Subject to change)

    PURPOSE OF DIVISION

    This division is responsible for ensuring safety, customer satisfaction, required maintenance, while encompassing a wide range of responsibilities from overseeing daily activities. This division is responsible for the functionality and safety of the Air Operations Area (AOA) by maintaining compliance with FAA regulations to ensure the airport retains its operating certificate. This division ensures that all required maintenance is performed timely to ensure compliance with all federal regulations and requirements.
    PURPOSE OF THE POSITION

    The Executive Office Assistant provides administrative support to the General Manager (GM) of Operations (OPS) and Maintenance (MX), by handling response, data processing, and all other assigned activities. This position oversees and performs a range of diverse administrative activities, serving as a central point of liaison with other departments and external constituencies. The Executive Office Assistant creates original and final copy documents from drafts. This position will assist in developing the departmental budget, monitoring budgetary and other business affairs, and performing bookkeeping functions.

    The responsibilities of this position include, but are not limited to:
    The Executive Office Assistant will provide direct administrative and operational support for the General Manager (GM) of Operations (OPS) and Maintenance (MX). They will be responsible for the following duties:
    • Provide direct administrative support and act as a liaison on behalf of the General Manager, OPS and MX
    • Drafts correspondence, reports and other documents
    • Answers rollover calls, takes messages and responds to questions as needed
    • Maintains the calendar for the GM, OPS & MX
    • Prepares documents necessary for GM, OPS & MX meetings
    • Facilitates the office supply orders for the divisions
    • Maintains a filing system for departmental budget information, reports, receipts, and correspondence
    • Develop and maintain relationships with both external and internal audiences, including employees and other vital stakeholders
    • Oversee special projects as assigned by the GM, OPS &MX

    Year-One Objectives & Milestones:
    • Develop an organizational file management system that connects all business units reporting to the GM, OPS & MX
    • Develop a communications schedule for OPS & MX events, shift briefings, projects, etc.
    • Successfully establish a filing and reporting system for GM, OPS & MX

    WORKING CONDITIONS

    The position occasionally requires stooping or bending. Occasional very light lifting, such as three or four reams of papers or books (up to 20 pounds or an equivalent weight) may be required.

    MINIMUM REQUIREMENTS

    EDUCATIONAL REQUIREMENTS:
    Requires a high school diploma or a GED.

    Certification:
    May be required to pass a City administered typing test with a typing speed of 70 words per minute with no more than 7 errors.

    EXPERIENCE REQUIREMENTS:
    Three years of clerical or administrative support experience are required.

    • Strong interpersonal skills
    • Experience handling multiple priorities simultaneously
    • Knowledge of Workforce Innovation & Development’s purpose and goals
    • High level of proficiency in Microsoft Office

    Factors used in determining the salary offered include the candidate's qualifications as well as the pay rates of other employees in this classification.
