Performs professional administrative functions in the Strategic Procurement Division’s Supplier Enablement group. Performs duties in the establishment and maintenance of records; prepares, researches, and analyzes data; prepares simple reports and departmental procedures, directives, and guidelines in researching and analyzing data and supplier status; and prepares a variety of reports.
The Administrative Coordinator duties include but are not limited to: - Guide new suppliers through the registration and onboarding process.
- Ensure all required documentation (e.g., tax forms, certifications, insurance) is collected and verified.
- Assist suppliers with navigating the City’s procurement portal or vendor management system.
- Conduct background checks or validation against exclusion lists as required.
- Serve as a point of contact for supplier inquiries during setup.
- Provide training or resources to help suppliers understand City procurement policies.
- Troubleshoot technical issues related to registration or system access.
- Performs other duties as requested.
WORKING CONDITIONS: This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment.
MINIMUM REQUIREMENTS EDUCATION REQUIREMENTS Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENTS Five years of administrative experience is required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCESPreferences will be given:
Good organizational, verbal and written communication skills and ability to work effectively with all levels of management. Ability to work in team environment. High attention to detail and strong analytical and problem-solving skills. Advanced skills in the use of Microsoft Excel, PowerPoint, Access or similar reporting tools.
