    Administrative Support Coordinator II

    Administrative Support for the Dean: Coordinates and leads a range of projects providing administrative support for the day-to-day operations for the Dean, and Teacher Education and Educational Foundations Departments. Whether working independently or part of a team, consistently maintains the highest standards of customer service for internal and external constituents by exemplifying the values of collegiality, inclusivity, respect, efficiency, and accuracy.

    Processes a high volume of email, telephone calls, and walk-in visitors and conducts business with a high degree of professionalism, discretion, and confidentiality.

    Supports the School of Education staff by maintaining awareness of operational needs and works collaboratively with other staff members, and provides backup as needed.

    Develops and implements standard operating procedures and practices, makes recommendations to resolve administrative problems and improve operational efficiency across all departments.

    Provides onboarding, training, and lead work direction for the School of Education and departmental student assistants.

    Assists with reports in support of accreditation, assessment, program review, grants, and School of Education accomplishments.

    Assists Dean with scheduling and School and community meetings and events.

    Administrative Support for TED and EF: Provides administrative support to the Teacher Education and Educational Foundations department and programs, including maintaining office inventory and procuring supplies such as educational materials, office supplies, and other resources through requisitions or procurement card purchases; preparing appropriate documentation for business activities and events; submitting printing requests as needed; and coordinating office/classroom access and guest lecturer hospitality. Logistical and administrative support for department recruitment and assessment, and other department functions.

    Develops and implements standard operating procedures and practices, makes recommendations to resolve administrative problems and improve operational efficiency across all departments.

    Assists Teacher Education and Educational Foundations faculty with daily needs such as printing, supply acquisition, office/classroom access, guest lecturer hospitality, etc.

    Assists chairs with departmental budgets, schedule building, faculty workload reports, departmental committee support and coordination, entitlement reporting and monitoring enrollments.

    Provides operational support for the assessment platform, such as entering and maintaining forms and works with the assessment analyst to provide information for departmental Commission on Teacher Credentialing accreditation reports.

    Supports data entry into various student records and tracking systems.

    Collects syllabi to ensure compliance with relevant policies and maintains the syllabi archive.

    Prepares reports, forms, letters, memos, surveys, and other documents.

    Processes work orders for maintenance, key, and building access code requests.

    Supports the faculty search processes and assists with the onboarding of new faculty and staff.

    Creates and maintains archives for electronic records and files and submits to the unit archives.

    Submits information technology (IT) tickets and assists with troubleshooting office technology and systems.

    Maintains an inventory of computer/tech assets, ensuring that all software on computers remains up to date.

    Other Duties: Responsible for remaining current with administrative policies and procedures by attending relevant meetings and training for job-related responsibilities. Serves on committees, task forces, and other groups as assigned. Performs other related duties as assigned in support of the School of Education.

    REQUIRED QUALIFICATIONS:

    Education: High school diploma, technical/vocational program, or their equivalents combined with several years of related office work experience.

    Knowledge, Skills, & Abilities: Ability to work professionally and collaboratively with a diverse population of faculty, staff, administrators, students, and other internal and external constituents. Ability to respond to a high volume of walk-in, telephone, and email inquiries on a daily basis with a high degree of professionalism, discretion, and confidentiality. Ability to work independently with a high level of accuracy, efficiency, and attention to detail. Must be a highly motivated and organized individual who is able to manage multiple tasks, work effectively with minimal supervision, and show initiative. Must be flexible and responsive to changing priorities and work assignments with the ability to prioritize and set reasonable goals to accomplish various projects in a timely manner. Excellent verbal and written communication skills. Ability to interpret and apply university policies and procedures. Ability to oversee and direct the work of Student Assistants. Ability to use standard word processing and related computer software packages.

    PREFERRED QUALIFICATIONS: Education: Bachelor’s degree preferred or a combination of education and experience.

    Experience: Minimum of five years of administrative support experience. Knowledge of applicable University infrastructure, policies, and procedures is preferred.

    Knowledge, Skills, & Abilities: Intermediate to advanced proficiency with computers, Microsoft, Office Suite, Adobe, and familiarity with learning new programs in support of responsibilities preferred. Possess strong research and data analysis skills. Knowledgeable of social media platforms and website management. Punctuality and regular evenings or weekends with advance notice.

    A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

    The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

    Hiring Range: $4,367 - $4,454 per month
