San Mateo County Health is seeking a well-qualified individual for the position of
Administrative Assistant I - Health IT. The current vacancy is full-time in the Health IT Division. This position is primarily based in South San Francisco, CA, but may travel/drive throughout the county to perform job duties. This position is currently hybrid, with both on-site and remote work, but is subject to change as needed to support the project and any changes to County policy.
This Administrative Assistant will support the Health IT Leadership team, directly reporting to the CIO, in the day-to-day operations of the project team with:
- Organizing the daily schedule
- Meeting preparation
- Creation of reports
- Presentations
- Data/information gathering
- Follow up on tasks that may be delegated to others
- Upcoming deadline reminders
- Travel management for team
- Resource/budget tracking
- Expense tracking
- Performing related duties as assigned etc.
Ideal candidate will possess:
- Experience working with health technology teams, including, but not limited to: Epic, Cerner, Innovaccer
- Experience coordinating facilities, locations, and bookings for a high volume of team members and meeting needs.
- Experience working directly with health executives for program coordination, cultural initiatives, and overall team support.
- Experience as an administrative assistant managing a large and varied workload with changing and conflicting deadlines, utilizing adaptability, independent thinking, and cooperation.
- Demonstrated ability in performing administrative and clerical duties at the highest level of quality with a range of diverse responsibilities and multiple priorities.
- Organizational skills to assist with operational project needs, including schedules, project budget tracking/expenditures.
- Skill in meeting preparation, including agendas, presentations, reports, securing locations, etc.
- Proven time management skills and the ability to meet deadlines and handle time-sensitive matters.
- Ability to exercise a high degree of discretion, exercise good judgment, and maintain confidentiality.
- Excellent problem-solving and creative resourcefulness skills with a can-do attitude.
- Strong analytical skills and strong attention to detail.
- Ability to provide exceptional customer service; enjoys interaction with people and is always able to demonstrate excellent interpersonal skills.
- Ability to work independently and is self-driven
- Ability to work well in a team-based environment and interact positively with a variety of people in different situations.
- Demonstrated ability to establish, maintain, and foster positive and effective working relationships with those contacted in the course of work
- Proficiency in using Microsoft Office Tools (Outlook, Teams, PowerPoint, Word, Excel) and VISIO. SharePoint experience is preferred.
- Proficiency in using modern office technologies and equipment.
- Ability to establish and maintain effective working relationships with those encountered on the job.
- Exceptional verbal and written communication skills.
Qualifications
Education and Experience:
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:
- Graduation from an accredited college or university, with a degree in Public Administration, Accounting, Political Science, Business Administration or related field OR four years of responsible administrative or supervisory clerical experience which has included bookkeeping or sub-professional accounting duties.

Departmental Promotional Only. Only current County of San Mateo employees in San Mateo County Health with at least six months (1040 hours) of continuous service in a classified regular, probationary, or extra-help/limited term position prior to the final filing date may apply.
The examination process will consist of an application screening (weight: Pass/Fail) based on the candidates' application and responses to the supplemental questions. Candidates who pass the application screening will be invited to a performance exam (weight: 100%). Depending on the number of applicants, an application appraisal of education and experience may be used in place of other examinations or further evaluation of work experience may be conducted to group applicants by level of qualification. All applicants who meet the minimum qualifications are not guaranteed advancement through any subsequent phase of the examination.
